The role

About the role

This role sits at the center of the private events team. The Associate Event Coordinator is often the first person a prospective client talks to: responding to inquiries, qualifying leads, booking tours, and keeping the events calendar accurate across all three locations. From there, the role prepares event details for the Event Coordinator’s proposals and contracts, produces the event documents our kitchen and floor teams work from, and helps execute events on the day. It also supports business development: researching prospective clients, assisting with in-person prospecting, helping at wedding expos, networking events, and open houses, and supporting the marketing that fills the calendar.

The right candidate will be an exceptional communicator with a genuine passion for hospitality: highly organized, emotionally intelligent, quick to anticipate what a client or teammate needs, and happy working behind the scenes to make an event memorable. This is a strong opportunity for someone with service-industry experience who wants to grow into event coordination.

Day to day

What you’ll do

Manage inquiries, scheduling, and event details

This is the heart of the role: every inquiry answered, every tour booked, and every event detail ready for the Event Coordinator and the kitchen.

  • Respond promptly to incoming private event inquiries, qualify each lead, and route it to the Event Coordinator with the details needed for a proposal.
  • Follow up with prospective clients so no inquiry goes quiet.
  • Schedule client meetings and site tours, and conduct tours as assigned by the Event Coordinator.
  • Maintain an accurate private events calendar across all three locations.
  • Prepare event details for transition to the Event Coordinator for proposal, pricing, and contracting.
  • Prepare event documents, including event orders, menus, and buffet labels.
  • Attend the weekly managers meeting.

Support business development

  • Research prospective clients, including local businesses, nonprofits, associations, and community organizations, to identify new private event opportunities.
  • Schedule sales calls and assist with in-person prospecting, including visits to local businesses and industry partners such as hotels, restaurants, event venues, and the David L. Lawrence Convention Center.
  • Help with wedding expos (typically January and November), industry networking events, and quarterly open houses at each location.
  • Support repeat-business initiatives that bring past clients back.

Support marketing

  • Support the private events marketing calendar and campaigns.
  • Collect photos, testimonials, and other content for marketing campaigns and collateral.
  • Contribute research, ideas, and administrative support to new and ongoing marketing and business-development initiatives.

Help deliver events

  • Assist with event setup, execution, and post-event follow-up.
  • Act as a liaison between clients, vendors, and our operations staff.
  • Support the Event Coordinator during events to ensure exceptional client service.

How this role works with the Event Coordinator

The Associate Event Coordinator handles scheduling and calendar management, marketing support and content collection, initial client communication and lead qualification, prospect research, routine follow-up, and event support. The Event Coordinator owns department goals and performance, business development and strategy, pricing, negotiation, and contracting, prospective client outreach, client relationship management, and event oversight.

A successful Associate Event Coordinator will:

  • Respond to every new inquiry within one business day, with no lead left without a next step.
  • Keep the events calendar accurate across all three locations, with no double bookings or surprises.
  • Hand the Event Coordinator complete, well-qualified leads that are ready for a proposal.
  • Deliver accurate event orders, menus, and labels before every event, so the kitchen and floor teams are never guessing.
  • Keep the Event Coordinator supplied with well-researched prospects and well-organized lead-generation support.
  • Bring past clients back through consistent follow-up and repeat-business outreach.
  • Keep clients, vendors, and operations staff informed from first inquiry to post-event follow-up.
  • Stay flexible, professional, and detail-oriented when plans change quickly.
  • Give the Event Coordinator dependable visibility and more time for pricing, contracts, and client relationships.

Who we’re looking for

Strong candidates will have:

  • At least one year of experience in the service or hospitality industry.
  • Exceptional written and verbal communication skills, including prompt, professional email.
  • Strong organization and the ability to prioritize multiple projects while meeting deadlines.
  • A genuine sense of urgency, and the judgment to know what needs attention now.
  • The initiative to anticipate client and team needs, and the ability to work well both independently and as part of a team.
  • Comfort with email, calendars, and spreadsheets, and the ability to learn our events and point-of-sale systems, including Toast.
  • Availability to work evenings and weekends for tours and events.
  • A valid driver’s license and reliable transportation for prospecting visits, expos, and travel between locations.

Applicants must be 21 or older.

Helpful additional experience includes:

  • Sales, event planning, catering, or banquet experience.
  • Marketing, social media, or content-creation experience.
  • Experience with Toast or another event-management or CRM system.
  • Experience working in a brewery, restaurant, or event venue.

A specific degree is not required. Relevant professional experience may substitute for formal education.

Schedule and physical requirements

This is a full-time position averaging 35 to 40 hours per week. The schedule follows the events calendar: weekday hours for inquiries, planning, and prospecting, plus evenings and weekends for tours and events. Event days can run long, and flexibility is essential when plans change quickly. Hours worked beyond 40 in a week are paid at the overtime rate.

The role requires extended periods of standing and walking during events, moving between floors and between locations, and helping set up and break down events.

Compensation and benefits

  • $25.00 per hour, full-time

  • Two weeks of paid vacation and one additional unpaid week
